By registering for the tournament, submitting payment, or otherwise confirming participation, the registering team acknowledges and agrees to all terms outlined in this Refund Policy.
 

1. General Policy

All tournament registration fees, deposits, service charges, administrative fees, and related payments are considered final and non-refundable unless explicitly stated otherwise within this policy.
 

Tournament operations require significant upfront financial commitments, including but not limited to:

• Facility rentals

• Staffing and officiating contracts

• Equipment rentals

• Insurance coverage

• Scheduling and administrative costs

• Awards and merchandise procurement

• Marketing and promotional expenses

• Technology and payment processing fees
   

As these costs are incurred in advance based on confirmed team registrations, withdrawals or cancellations by teams may create direct financial losses to the tournament organiser.
 

Accordingly, refunds shall only be granted under the limited circumstances specifically identified within this policy.
 

2. Deposits

Any deposit paid to secure a tournament spot shall be deemed:

• Non-refundable

• Non-transferable

• Non-creditable toward future events unless explicitly approved in writing by the organiser
   

Deposits are used immediately to secure tournament operations and reserve competitive placement.
 

3. Event Cancellation by Organiser

If the tournament organiser fully cancels the event before commencement for reasons solely within the organiser’s control, registered teams may receive either:

• A partial or full refund, or

• Event credit toward a future tournament

The exact amount shall be determined after deduction of unrecoverable expenses already incurred by the organizer.

The organiser shall not be liable for indirect or consequential expenses incurred by teams, including but not limited to:

• Travel expenses

• Hotels and accommodations

• Vehicle rentals

• Lost wages

• Food expenses

• Third-party bookings
   

4. Force Majeure

No refunds, reimbursements, damages, or compensation shall be owed where the event is delayed, modified, suspended, or cancelled due to circumstances beyond the reasonable control of the organiser, including but not limited to:

• Severe weather

• Natural disasters

• Floods

• Fires

• Epidemics or pandemics

• Government restrictions

• Public health orders

• Utility failures

• Labor disputes

• Civil unrest

• Acts of terrorism

• Venue shutdowns

• Transportation disruptions

• Emergencies or safety risks

Under such circumstances, the organiser may provide partial credits or rescheduling options at its sole discretion, but shall not be legally obligated to issue refunds.
 

5. Removal, Disqualification, or Suspension

No refunds shall be issued to any team, player, coach, staff member, or affiliated individual removed, suspended, or disqualified from the tournament due to:

• Rule violations

• Unsportsmanlike conduct

• Safety violations

• Fraudulent registration

• Misrepresentation

• Failure to comply with tournament policies

• Harassment, abuse, or misconduct
   

6. Payment Disputes and Chargebacks

By submitting payment, teams agree not to initiate chargebacks or payment disputes for circumstances covered under this Refund Policy.
 

Any team initiating an improper chargeback or payment reversal may be subject to:

• Immediate suspension from current and future events

• Collection activity for outstanding balances

• Recovery of legal fees and administrative costs

• Additional penalties permitted by law
   

The organiser reserves the right to provide this policy, registration records, signed agreements, communications, and payment confirmations to financial institutions in response to disputes.
 

7. Transfer of Registration

Tournament registrations may not be sold, transferred, reassigned, or exchanged without prior written consent from the organiser. Unauthorised transfers shall be considered void and may result in removal from the event without refund.
 

8. Refund Request Procedure

All refund requests must:

• Be submitted in writing

• Be sent by the officially registered team representative

• Include supporting documentation if requested

• Be received within the applicable cancellation window

Submission of a refund request does not guarantee approval.

All refund determinations are made solely by the organizer and are considered final, as there will most liekly be expenses spent for operations that are not retrievable.
 

10. No Insurance or Guarantee of Participation

Tournament registration fees are not insurance policies and do not guarantee uninterrupted participation.

Teams assume all risks associated with participation, scheduling changes, venue modifications, opponent withdrawals, and unforeseen operational adjustments.
 

11. Acceptance of Policy

By registering for the tournament, submitting payment, or participating in any tournament-related activity, all teams and participants acknowledge that they:

• Have read this Refund Policy in full

• Understand the financial risks associated with withdrawal

• Agree to be legally bound by all terms contained herein

Failure to read this policy does not exempt any party from compliance.

12. Tournament Format and Schedule Changes

The organiser reserves the right to reasonably modify game schedules, match formats, number of sets, playoff structures, court assignments, or other tournament operations when necessary due to scheduling delays, facility limitations, safety concerns, or unforeseen circumstances. The organiser will make reasonable efforts to provide the advertised tournament format; however, reasonable operational changes shall not automatically entitle teams to a refund or compensation.

13. Schedule Modifications

Tournament formats may be modified when reasonably necessary to complete the event within the available facility time or due to operational circumstances. Such changes do not automatically entitle participants to a refund. However, if a modification is clearly determined to have significantly disadvantaged a team, the organiser may review the circumstances to determine whether a refund or other remedy is appropriate. No full refund is guaranteed, particularly where registration funds have already been used for tournament operations or future event-related expenses.

14. Officiating and Referee Decisions

Officiating may be performed by certified referees, volunteers, participants, or other individuals approved by the organiser.

 

Referees may make errors, judgment calls, or decisions with which teams disagree. Disagreement with officiating, rule interpretations, line calls, or referee performance does not automatically constitute grounds for a refund.

Our referee volunteers and officials will make reasonable efforts to ensure that games are officiated fairly. If it is determined that an individual intentionally and significantly interfered with a team's fair opportunity to compete, the we will review the complaint and determine whether a refund or other remedy is appropriate.

15. Delays and Downtime

Tournament schedules are estimates, and delays or waiting periods may occur. We cannot guarantee exact start times or a specific amount of time between games; however, we will make reasonable efforts to keep the tournament on schedule and provide an enjoyable experience for participants.  Reasonable delays, downtime, or scheduling changes do not automatically entitle participants to a refund or compensation.

16. On-Site Tournament Representatives

A representative of the company will be present at all tournaments. This representative may include a Director, the CEO, or another authorised individual.

The absence of a specific organiser, owner, or director at any particular time does not automatically constitute grounds for a refund.

​

However, if no authorised representative is reasonably available at the facility when required, or if tournament representatives significantly fail to carry out their organisational responsibilities, we will review the circumstances and determine whether a refund or other remedy is appropriate.

17. No Guarantee of a Specific Experience

Tournament registration provides participants with the opportunity to participate and does not guarantee a particular experience, competitive outcome, officiating quality, or level of satisfaction. Dissatisfaction with tournament organisation, officiating, scheduling, competition, or outcomes does not automatically entitle participants to a refund.
